At Nitro Software EMEA (“we”, “us”, “our”), we respect your privacy and are committed to protecting your personal data.This Job Applicant Privacy Notice explains how we collect, use, share, and protect your personal information when you apply for a position with us.

This notices applies to all Nitro entities involved in recruitment, including:

  • Nitro Software EMEA (Ireland)

  • Nitro Software, Inc. (United States)

  • Nitro Software Pty Ltd (Australia)

  • Nitro Software Belgium

  • Nitro Software Ltd (Canada)

  • Nitro Software Portugal

The data controller for your application will be the Nitro entity responsible for recruitment in your region.

  • Interview and assessment data;
  • References and background check information (where applicable);

We use Greenhouse Software, Inc. (“Greenhouse”) as our recruitment platform, which acts as a data processor on our behalf.


4. How We Use Your Data

Your personal data is used for:

  • Managing and evaluating your application;

  • Communicating with you during the recruitment process;

  • Conducting reference or background checks, where applicable;

  • Maintaining records to comply with legal and regulatory obligations.


5. Legal Basis for Processing

We process your personal data based on:

  • Contractual necessity – to assess and manage your application;

  • Legitimate interests – to operate and improve our recruitment process;

  • Legal obligations – to comply with employment and equality laws;

  • Consent – if we ask to retain your data for future opportunities.

  • With other Nitro entities involved in the recruitment process;

  • With Greenhouse and other service providers acting on our behalf;

  • With legal or regulatory authorities when required by law.

If data is transferred outside the European Economic Area (EEA) or UK, we ensure appropriate safeguards are in place, such as:

  • EU Standard Contractual Clauses (SCCs); or

  • The EU-U.S. and Swiss-U.S. Data Privacy Framework (DPF) and its UK extension, where applicable.


7. Data Retention

We retain your personal data for a maximum of 3 years after the recruitment process concludes, unless you consent to a longer retention period.
