Use Nitro Sign with SharePoint

Nitro Sign

Nitro Sign for SharePoint lets you send documents for signature directly from a SharePoint document library. You can select files from SharePoint, start a Nitro Sign signature request, and complete the signing workflow using Nitro Sign.

With Nitro Sign for SharePoint, you can send multiple documents together in one envelope, add recipients, prepare signature fields, self-sign documents, check request status, and automatically save completed signed documents back to SharePoint.



Note: Nitro Sign for SharePoint is available for Nitro Sign Enterprise users. Availability may depend on your organization’s region and admin configuration.

Requirements

Make sure that you have:
  • A Nitro Sign Enterprise account
  • Access to the SharePoint site and document library you want to use
  • Permission to select and send documents from the SharePoint folder
  • The Nitro Sign for SharePoint app installed and enabled for your SharePoint site
Note: Your SharePoint administrator may need to install Nitro Sign for SharePoint and authorize access before users can send documents for signature.

Get started

  1. Go to SharePoint
  2. Open the document library that contains the files you want to send for signature
  3. Select one or more documents
  4. Open the file actions menu
  5. Select Send for signature with Nitro Sign
  6. Sign in to Nitro Sign if prompted
  7. Review the selected documents
  8. Re-order the documents if needed
  9. Add recipients
  10. Configure the signing workflow
  11. Add signature fields and any other required fields
  12. Send the signature request

After the request is sent, you are returned to SharePoint.

Note: Nitro Sign for SharePoint uses Nitro Sign to complete the signing workflow. You may be redirected from SharePoint to Nitro Sign to sign in, prepare the request, or check status.

Send documents for signature

Use Send for signature to create a signature request from SharePoint.

You can select multiple supported documents and send them together in a single envelope. An envelope keeps the documents together as one signing package.

Supported file types include:
  • PDF
  • Images
  • Microsoft Word
  • Microsoft Excel
  • Microsoft PowerPoint

Note: If one or more selected files do not meet the envelope requirements, Nitro Sign will display an error before the request can be sent.

Self-sign a document

  1. Use the signing workflow to add your own signature to a document.

  2. Select the document or documents from SharePointChoose the Nitro Sign signing option

  3. Sign into Nitro Sign if prompted

  4. Add the fields you need to complete

  5. Apply your signature

  6. Complete the signing process

Check request status

Use Check status to view the status of signature requests created from SharePoint.

  1. Go to SharePoint

  2. Open the Nitro Sign for SharePoint options

  3. Select Check status. 

You will be directed to your status grid, where you can view envelopes created from SharePoint. 

Note: You can also view your envelope status is through the ‘My documents’ section of Nitro Sign. There, you will find all your envelopes including those created via SharePoint in the ‘Multiple Documents’ tab.

Note: Detailed envelope status, such as how many documents have been signed within an envelope, is not currently displayed inside the SharePoint integration.

Find completed signed documents

When the signing workflow is complete, Nitro Sign saves the completed documents back to SharePoint.

  1. Completed signed documents are saved in a Signed Documents folder in SharePoint.

  2. The folder structure is: Signed Documents / <Envelope name-signed> / <All envelope files>

Users are also notified by email when the signature workflow is complete.

Admin setup

Before users can use Nitro Sign for SharePoint, a SharePoint administrator may need to install and authorize the app. For more information about admin setup, please refer to the SharePoint Admin User Guide.

The SharePoint admin can:

  • Add the Nitro Sign for SharePoint app to a SharePoint site
  • Grant the required SharePoint access
  • Control user access through Nitro Sign Enterprise licensing
  • Revoke access by removing the user’s Nitro Sign Enterprise license

Note: The Authorize Microsoft access option is only available to administrators.

Notes and limitations

  • Nitro Sign for SharePoint is available for Nitro Sign Enterprise users.
  • The integration supports sending multiple documents together in one envelope.
  • Accepted file types are PDF, images, Microsoft Word, Microsoft Excel, and Microsoft PowerPoint.
  • Each document can be up to 20 MB.
  • Each envelope can contain up to 15 documents.
  • The total envelope package size can be up to 300 MB.
  • Each envelope can include up to 200 recipients.
  • Each document can contain up to 250 pages.
  • Completed signed documents are saved back to SharePoint in a Signed Documents folder.
  • Documents cannot be added to or removed from the envelope after they are uploaded into the signing workflow.
  • Nitro Sign for SharePoint may not be available in all regions.
