The Role:
We are looking for a Part-Time Office Manager to join our Global People Team onsite 3 days a week (Monday, Tuesday, and one other day). Our Porto office, opened this year on Rua de Júlio Dinis, has grown to a team of 24, with plans for further expansion. This is an excellent opportunity to join a growing team and play a key part in maintaining a well-organised, efficient, and collaborative work environment.
Key Responsibilities:
- Oversee office facilities, ensuring smooth operation of maintenance, repairs, and vendor management.
- Ensure the office meets health, safety, and environmental compliance standards.
- Manage office equipment, supplies, and space planning to support team needs and growth.
- Develop and maintain office access procedures, centralised vendor lists, and supply schedules across multiple locations (Porto, Dublin, Toronto, Antwerp, Melbourne).
- Handle day-to-day administrative tasks, including correspondence, meeting coordination, and responding to queries.
- Support the office culture and contribute to HR and people team programmes by coordinating activities and company events.
- Manage office budgets, ensuring effective financial control and cost efficiency.
- Oversee the company’s travel platform, assisting employees with bookings and travel-related queries.
- Prepare documents, reports, presentations, and other administrative materials as required.
- Liaise with staff, clients, and suppliers to foster a positive and collaborative working environment.
What we're looking for:
- Proven experience in office management, with a particular focus on facilities management.
- Strong organisational skills and problem-solving ability, with excellent attention to detail.
- Excellent communication and interpersonal skills, with a collaborative mindset.
- Proficiency in office software and administrative systems.
- Experience in managing vendors, contracts, and office budgets.
- Familiarity with health and safety regulations and compliance.
- Ability to multitask and prioritise effectively in a fast-paced environment.
